Transfer your credits 

If you have taken courses at other institutions and would like the credits evaluated for transfer purposes to Douglas College you must complete a Transfer Credit Request Form and submit it to the Registrar's office - either by mail, email to transfercredit@douglascollege.ca, or in person, along with an official transcript from your sending institution (please note: photocopies, faxes and emails of transcripts are deemed unofficial and will not be accepted). Transfer credit is not done automatically. Students are responsible for initiating the transfer credit process.

Please note the following:

  • All courses on transcripts submitted will be evaluated for transfer credit - you cannot choose specific courses to be transferred
  • Failing grades will not receive transfer credit - minimum grade is "D" or "P" for transfer credit purposes
  • Transfer credit is NOT calculated in your Douglas College GPA
  • Transfer credit will not be done for courses which exceed the College's time limit policy.  Arts courses must be 10 years old or less.  Science and Math courses must be 7 years old or less.
  • Prior to January 1, 2010 Douglas College used a credit-for-credit transfer system. As of January 1, 2010, the transfer credit policy changed, Douglas College will now award credits according to the credits established for the equivalent course at Douglas College
  • Courses taken outside of British Columbia must include detailed course outlines submitted along with your request. Outlines must be from the semester/year that you took the course and supplied to you by the institution. For more information, please see Detailed Course Outlines
  • ALL TRANSCRIPTS and other documents filed in support of your transfer credit request become the property of Douglas College and will NOT be returned unless they are deemed to be irreplaceable

Deadlines for submitting transfer credit requests

To ensure transfer credit is done in time for your registration, your request must be received by the following deadlines:

  • April 15th for Fall Semester
  • September 15th  for Winter Semester
  • January 16th for Summer Semester

If you have been admitted to the College after the above deadlines and require courses to be transferred to meet pre-requisites for registration, please contact the appropriate department. You may be able to request a pre-requisite override. Overrides are granted at the discretion of the department.

Requesting transfer credit

Courses taken within BC

  1. Complete a Transfer Credit Request Form
  2. Ensure official transcripts are attached to the Transfer Credit Request form or transcript is on order with the sending institution and should arrive within 6 weeks or official transcripts have been submitted previously and are on file at Douglas College
  3. Include detailed course outlines from the time period attended - these are required for all courses NOT appearing in the BC Transfer Guide. Please refer to the Transfer Credit Course Outlines information. Note: Calendar descriptions are not sufficient for evaluation purposes and outlines must have been supplied to you by the institution.

Advanced Placement (AP) or International Baccalaureate (IB)

  1. Complete a Transfer Credit Request Form
  2. Ensure official transcripts are attached to the Transfer Credit Request form or transcripts are on order from the AP or IB organization and should arrive within 6 weeks or official transcripts have been submitted previously and are on file at Douglas College.
  3. Students can confirm which AP and IB courses receive transfer credit at Douglas College on the BC Transfer Guide website.

Courses taken outside BC but within Canada

  1. Complete a Transfer Credit Request Form
  2. Attach official transcripts to the Transfer Credit Request form or
    transcript is on order with the sending institution and should arrive within 6 weeks or
    official transcripts have been submitted previously and are on file at Douglas College
  3. Include detailed course outlines from the time period attended. Please refer to the Transfer Credit Course Outlines information. Note: Calendar descriptions are not sufficient for evaluation purposes and outlines must have been supplied to you by the institution.

Courses taken outside of Canada

  1. Complete a Transfer Credit Request Form and request a Green Foreign Credential Return Request form (form is available from the Registrar's Office) indicating how you wish your documents returned (e.g., Pick up or Mail). NOTE: NORTH AMERICAN TRANSCRIPTS WILL NOT BE RETURNED.
  2. Attach official transcripts to the Transfer Credit Request or
    transcript is on order with the sending institution and should arrive within 6 weeks or
    official transcripts have been submitted previously and are on file at Douglas College
    Note: We require the original transcript in the official language of the home country - and the authenticated English translation.
  3. Include detailed course outlines from the time period attended. Please refer to the Transfer Credit Course Outlines information. Note: calendar descriptions are not sufficient for evaluation purposes and outlines must have been supplied to you by the institution.
    Outlines must be officially translated to English and authenticated. Failure to provide detailed course outlines for all foreign transcripts submitted will result in your transfer credit not being reviewed.

Next step

For evaluation your file must contain the following:

  • A completed Transfer Credit Request Form
  • An official transcript (official transcripts may be attached to the request form, submitted previously, or received within 6 weeks of request).
  • Detailed course outlines from the time period attended (as required) for all sending institutions that do not appear on the www.bctransferguide.ca. Check the Detailed Course Outlines information sheet. Please remember Calendar descriptions are not sufficient for evaluation purposes and outlines must have been supplied to you by the institution.

Transfer credit is processed in date order received and your complete file will be reviewed by the Transfer Credit Officer. Any requests involving the submission of course outlines and/or exceeds time limit will be forwarded to the appropriate Faculty evaluator. Please allow additional time for the processing of requests of this nature, as they can take up to 3 months to be processed, but may take longer during peak periods. All results will be entered to your Douglas College student record (viewable in the Transfer Credit Evaluation Summary area of your myAccount login), and you will be sent an e-mail informing you when your request has been completed.

Frequently Asked Questions

Will my transfer credit be done in time for my registration?

Published deadlines are as follows:

  • For Fall Term - requests must be received by May 1
  • For Winter - requests must be received by October 1
  • For Summer Term - requests must be received by Feb 1

If you have meet the above deadlines your transfer credit will be completed for the term indicated; however, if you are submitting outlines you are strongly advised to submit these three months prior to the start of registration.

A general rule is to allow 4 to 6 weeks for processing (without outlines)

How will I know the results?

An e-mail will be sent to your Office 365 email account when your transfer credit is done.

To view your results, you must login to your student self-service account via Application and Registration Services and go to Student Records - where you can view your Transfer Credit Evaluation Summary. Your summary will indicate courses that have received transfer credit and any comments or notes that have been made to you about courses that have not received credit. If you have submitted detailed course outlines and the results of the evaluation have not yet been completed, you will be notified by your Office 365 email account as these are returned from the Department Chair and entered.

How can I get an update on my Transfer Credit Status?

The results of your transfer credit evaluation will be posted to your record as soon as the evaluations is complete Please allow 4 to 6 weeks processing time. Every effort is made to complete transfer credit requests that have been submitted by the semester deadline.

I took Advanced Placement courses at high school. I was told I would receive transfer credit and want to know if this has been done?

You must fill out a Transfer Credit Request form and submit an official transcript from the AP College Board (or IB International Baccalaureate). Information regarding how your courses may transfer to Douglas College can be found on the BC Transfer Guide www.bctransferguide.ca under Program Transfer.

I have received Unassigned Credit for some of my courses - what does this mean?

If you received Unassigned Credit (i.e. ENGL XXXX) this indicates that the course transfers, but is not equivalent to a specific course at Douglas College. The use of the unassigned credits MAY be applied towards meeting general electives, but not necessarily specific program/graduation requirements. Unassigned Credit does not satisfy pre-requisites for courses.

My transcript shows Exemption without credit - what does this mean?

Prior to January 01, 2010 Douglas College used a credit for credit system. If the credits earned for a course completed at another institution were less than the credits assigned to the Douglas College equivalent you would receive Exemption Without Credit for the Douglas College course and Unassigned Credit that would match the credits granted by the other institution.

Example: SFU Math 100 (3) credits transfers to Douglas College MATH 1110 (4) credits - your transfer credit would appear as follows:

Math 1110 Exemption Without Credit 0.00 credits

Math XXXX Unassigned Credit Mathematics 4.00 credits

As of January 01, 2010 the transfer credit policy has changed. Douglas College will award credits according to the credits established for the equivalent course at Douglas College.

My course didn't transfer can it still be reviewed?

Yes, if you believe we may offer an equivalent course you may submit detailed course outlines for review. Please see Submitting Detailed Course Outlines on the website. NOTE: Submitting detailed course outlines is not a guarantee that you will receive direct transfer credit.

Can I select the courses I want to be transferred?

No, transfer credit will be awarded on all courses for which we have approved equivalencies for. Only those courses that meet the minimum acceptable grade of D or P are transferred to your Douglas College record. Failed courses are not transferred or recorded on your record.

Are my transfer credits included in my GPA?

No, transfer credits are recorded separately on your student record and are not included in your Douglas College GPA calculation.

Will I get transfer credit for my Adult Basic Education courses?

Receiving transfer credit for your Adult Basic Education courses depends on whether the course is listed in the ABE transfer guide as receiving credit at Douglas College: The ABE Transfer table can be found at:

Courses that do not receive transfer credit but are equivalent are noted on your Douglas College record (these will NOT appear on your official transcript) and may be used to meet pre-requisite requirements for other courses or for admission purposes.

In some instances the ABE courses transfer as a group (two courses are required); therefore, if your transcript shows only one of these courses completed no credit will be granted.

I am thinking of taking a course at another institution and transferring the course to Douglas College - how do I know if I will receive transfer credit?

We typically do not provide students with information about course transfer unless they have already taken a course. Transfer articulation is an ongoing process and transfer agreements change all time. The information we give you is accurate at the time you request it; however, there is no guarantee that it will remain unchanged in the future.

I have just been accepted to Douglas College and missed the Transfer Credit Request deadline. I need to meet pre requisites for my courses - what should I do?

If you require courses to be transferred to meet pre requisites for registration, please contact the instructor of the course you wish to register by e-mail or phone (see the Employee Directory) and request a pre- requisite override to allow you to register in the course. NOTE: Overrides are at the discretion of the instructor/department and are only valid for one semester.

I applied to the Nursing program and supplied my Official Transcripts. I just found out that I can't register in an English course because I don't meet the pre-requisites, but I have the pre-requisite on my post secondary transcript - what happened?

Submitting your official post secondary transcript was necessary for admissions purposes. If you have taken courses at other institutions and believe these courses would satisfy pre-requisites for courses at Douglas College then you must submit a Transfer Credit Request Form to have your courses evaluated and transferred in time for registration.
